Whether you are applying for temporary residence (visitor visa, study permit, work permit) or permanent residence, many applicants spend countless hours writing a Letter of Explanation (LOE).
I see people worrying about grammar, sophisticated vocabulary, or whether their letter sounds "professional enough."
Personally, I think most applicants focus on the wrong thing.
The real question is not:
"Does my letter sound impressive?"
The real question is:
"Can an IRCC officer understand my situation immediately?"
What IRCC Actually Wants
A Letter of Explanation is not supposed to be a novel.
Its purpose is simple:

Clarify information.

Explain unusual circumstances.

Connect your documents together.
-
Help the officer understand your application faster.
In 2026, IRCC continues to emphasize supporting documents and evidence. If you make a claim, there should ideally be a document somewhere in your application that supports it. A letter can explain evidence, but it cannot replace evidence.
That means a good LOE is not the one that contains the most arguments.
It is the one that makes the strongest evidence easy to understand.
The AI Trap
This is where many applicants make a mistake.
They ask an AI tool to write their entire Letter of Explanation.
The result often looks excellent.
The language is polished.
The reasoning sounds convincing.
The problem?
AI frequently invents motivations, intentions, or explanations that sound logical but cannot be proven.
For example, an AI-generated letter may say:

You chose a program because it perfectly aligns with your long-term career objectives.

You intend to return to your home country because of strong professional opportunities.

You have deep personal motivations for immigrating.
These statements may sound persuasive.
But if an officer asks, "Where is the evidence?" and your application contains no proof, the statement becomes weak.
A good immigration application is not built on beautiful sentences.
It is built on facts.
If you cannot support a claim with documents, be extremely careful about including it.
The MedyZeus 30-Second Test
Personnaly, I use a very simple rule.. A rule that I called MedyZeus-Rule
Write your Letter of Explanation.
Then give it to someone who has absolutely no idea that you are planning to immigrate.
Do not provide context.
Do not explain anything beforehand.
Just hand them the letter.
After about 30 seconds, ask three questions:

What is this person trying to explain?

What is the issue?
-
What evidence supports the explanation?
If they answer correctly, your letter is probably doing its job.
If they look confused, ask questions, or misunderstand your situation, an immigration officer may experience the same problem.
Signs You Have a Strong LOE
A strong Letter of Explanation is usually:

Clear and direct.
-
Consistent with all supporting documents.

Focused on facts rather than emotions.

Easy to read in less than a few minutes.

Free from exaggerated claims.

Supported by evidence whenever possible.
Most importantly, it helps the officer connect the dots without having to guess.
So..
I think the best Letter of Explanation is rarely the most sophisticated one.
It is the one that creates the least confusion.
Avoid letting AI write reasons that you cannot prove.
Instead, explain your situation honestly, support your statements with documents, and focus on clarity.
If a complete stranger can understand your message in 30 seconds, there is a good chance the IRCC officer will understand it too.
And when it comes to immigration applications, clarity is often more valuable than persuasion.

Application Number (File Number)
Every application submitted to IRCC is assigned a unique number, also known as a file number. This identifier helps track your application and ensures it can be distinguished from others, even if you submit multiple requests.
An application number is usually made up of one or more letters followed by several digits (for example, E123456789). The letters at the beginning indicate the type of application.
Examples of application number prefixes:
- E123456789 – Economic application (commonly used for Express Entry)
- EP12345678 – Provincial Nominee Program (PNP)
- V123456789 – Visitor visa, Visitor record, or eTA
- F123456789 – Family sponsorship
- S123456789 – Study permit

Consent Form
To request GCMS notes, you must complete and sign the consent form. This document authorizes the release of your personal information to a designated representative.
Please print the form and complete it using a BLUE PEN. Only fill in the sections highlighted in the example provided.

If your application includes family members (spouse or dependents), each person must complete and sign their respective section of the form.
Make sure all information is accurate and matches your official documents before sending the form.
UCI (Unique Client Identifier)
The UCI, or Unique Client Identifier, is a personal reference number assigned by IRCC to each individual. It is used to identify and track a client across all their applications.
Each person receives a unique UCI, which remains the same for life. Even if you submit multiple applications to IRCC, your UCI does not change, although each application will have its own application number.
If you have previously applied to IRCC, you likely already have a UCI. When submitting a new application, the same UCI will continue to be used.
A UCI is made up of digits only and is typically either 8 or 10 digits long. It may appear with or without hyphens.
Common formats include: ####-#### or ##-####-####.
If you have recently applied, you may temporarily see a number such as CAN1234567. This is a provisional identifier that will later be replaced by your permanent UCI once your information is fully processed.
